Aspire Institute seeks a highly organized and proactive Executive Assistant to support the CEO and senior management team. The ideal candidate will assist with daily office administration, event planning, office supply management, drafting communications, and conducting research related to low-income college youth and leadership programs in the US and globally. 

Location and Hours:

40 hours per week (8 business hours a day, Monday through Friday Eastern Standard Time). Our staff work remotely on Mondays and Fridays and in-person at Aspire’s office in Cambridge, MA, Tuesday – Thursday.

Roles & Responsibilities:

  •  Administrative Support 
    • Manage daily administrative tasks including scheduling, filing, and office organization. Proficiency in Microsoft Office Suite and Google Workspace is required. 
    • Office Supply management: oversee the ordering and inventory of office supplies, computers, and other materials and resources needed for the smooth functioning of the office. 
    • Administrative Support for senior management team including operational tasks, travel arrangements, expense reimbursements, and inter-unit coordination. 
  • Event Coordination 
    • Plan and executive events such as donor and staff meetings, seminars, and fundraising events. Experience with event management tools and platforms is a plus. 
  • Communication 
    • Draft and manage email communications for internal and external stakeholders. Familiarity with CRM systems and email marketing tools is preferred. 

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Communications, or a related field. 
  • Minimum of 2 years of experience in in an administrative or executive assistant role. 
  • Experience in non-profit or educational sectors is a plus. Strong organizational, communications, and time management skills. Ability to handle multiple tasks and projects simultaneously. 
  • Familiarity with project management software, collaboration tools, and other relevant technologies. 
  • Additional Requirements:
    • Authorization to work in the US.
