The Office Manager will be a part-time staff member reporting to the Executive Director and managing day-to-day administrative functions and operations.

Responsibilities

  • Enroll new employees in Aspire’s benefit plans
  • Make travel, conference attendance and event arrangements
  • Make travel, conference attendance and event arrangements
  • Maintain inventory of office supplies
  • Purchase computers and office equipment and coordinate their repair as necessary
  • Maintain electronic records of all contracts with vendors, interns, and independent contractors
  • Maintain the electronic employee handbook
  • Support social media marketing
  • Respond to emails and phone calls
  • Assist with the payment of academic scholarships and Community Action Awards
  • Perform other mission critical duties as assigned

Qualifications

  • High school diploma; Associate’s degree in office administration or related field preferred
  • 3 years of work experience in an office environment, preferably in higher education, non-profit, human services, consulting, business, social enterprise, foundation, or related fields
  • Computer proficiency: Microsoft Office, including advanced Excel. Proficiency with the Google Suite equivalent or Customer Relations Management software will be a plus

  • Excellent interpersonal skills including the ability to work collaboratively with a diverse team.
  • Ability to work independently and take initiative in a fast pace, start-up environment with multiple tasks and projects.
  • Problem-solving skills
  • Ability to communicate effectively across stakeholders that include board members, founders, donors, staff and others
  • Excellent listening, written, and verbal communication skills.
  • Legal authorization to work in the United States

Working Environment

  • Aspire staff typically work remote on Monday and Friday and in office Tuesday – Wednesday. The in office noise level is usually quiet to moderate (i.e., in a business office with computers, phones, printers, etc.)
  • Occasional weekends and nights as needed
